Dear Chess Organiser

INVITATION TO THE S.A. JUNIOR CHAMPIONSHIPS OF 2006

  1. Invitation

All CHESSA- and SAJCA- affiliated regions involved in chess are cordially invited to participate in the annual national South African Junior Chess Championships for 2006, taking place at the University of Pretoria (Tukkies), in Pretoria this year.  The Gauteng North Junior Chess Association is honoured to host this prestigious event and we sincerely hope that you will enjoy your visit to us.  The provisional schedule is attached as annexure A.

  1. Regional contact person

Please take note that we will only liaise with one representative per Region.  Kindly provide us with the full contact details of your authorized representative with whom we can deal on all matters.

  1. Accommodation

The venue can accommodate all players and officials.  These will be allocated on a first come first serve basis, i.e. first deposits paid.  Bedding will NOT be included in the price of the accommodation.  All meals will be taken at the respective hostels.  There will be three meals per day and the organizers will provide for special dietary requirements if the regional organizers supply the necessary confirmation of such requirements, by latest 15 October 2006.  The cost of accommodation for the Nationals is R210.00 per person per day.  Should your deposit be received by 30 September 2005 and the balance of your account is settled by no later than 17 November 2006, a 5% discount will be given on your accommodation-costs.  All accommodation-fees must be paid in full prior to occupancy, failing which, the rooms will be re-allocated and your deposit forfeited.  Requests for subsidy of hostel-accommodation for PDI-players should be taken up with SAJCA prior to booking.

  1. Other accommodation

Unfortunately we are unable to accommodate parents and friends at the venue.  A list of alternative accommodation will be included in circular 2.  Pleas ensure that this information is passed on to all parents in your respective provinces when made available.

  1. Teams

As was approved at the AGM in Port Elizabeth in 2005, each region will be allowed to enter one team per age group category.  Regions that had a team in a particular age group in the Championship Section in 2005 may enter a B team in the 2006 event in that category.  This includes teams who won their promotion/relegation matches.  The U/10 teams will consist of 6 players each.  Only one reserve player per age group, and not per team, will be allowed.  (Queries in this regard should be directed at the President of SAJCA, Mr Chris de Jager, at 082 558 9397).   Regions will not be allowed to participate in the Nationals unless they can demonstrate that:

  1. their trails had a minimum of 15% participation from previous disadvantaged individuals, and
  2. the required SAJCA registrations fees for 2005 (based on the participation at the SAJCC 2005) were paid before the end of July 2006.
  1. Entry Fees
  1. Team event                                                       :  R170.00  per player and reserve
  2. Individual [age group] event                               :  R180.00  per player
  3. Individual event only                                          :  R300.00 per player

(Participant’s entry forms should be supported by a motivation from the respective regions)

  1. Team Officials [Managers & Coaches]              :  R130.00 per person

Regional participation in the team and individual championships will be confirmed by the payment of 30% of the total amount due by 29 September 2006.  The final date for full payment of the team and individual events as well as the accommodation is 17 November 2006.

Individual players that are not participating in the team event may participate in the age group championships.  A separate entry form for this purpose will be made available by end August 2006.  Such individual entries must be paid in full and submitted to the organizers by no later than 10 November 2006.  Late entries for the individual event will be accepted up to 20 November 2005, at an additional registration fee of R 50.00 per entry (i.e. total registration fee of R350.00 for such late entries).

  1. Bulletins

A games bulletin will be available after each round.  The cost will be as follows:

    1. Team event:            5 rounds:           R 60.00
    2. Individual event:      9 rounds:           R100.00
    3. Should you place an order for both events, a CD/disk with all information for both events will be provided free of charge;
    4. Orders for these bulletins must be placed with the Organisers and paid for before each event.
    5. Orders will not be taken for individual rounds.
  1. Information Management

In our quest to be more efficient in the management of information, all information that will be submitted as required, will be done electronically via the web and it is therefore essential that your appointed regional coordinator has access to the internet.  Access control will be governed by a unique user name and password allocated to each region. More details on information management will follow in circular 2.

  1. Banking details

You will be advised of the bank details in respect of the SAJCC2006 with CIRCULAR 2.  Please note the annual registration fees must not be paid into this account but directly into the SAJCA account. Please contact Bridgette Brodie in this regard. (bbrodie@netactive.co.za)

  1. General

We wish you well in your preparation for the National Championships and are looking forward to hosting you in December 2006.  We trust that your stay in our beautiful city will be a very pleasant and memorable one.
